An ordering and production system
for a catering company delivering
over half a million meals a year.
Project details
The client is a collective catering operator from Warsaw. It delivers meals to nurseries, preschools, schools, senior homes and social care centres. We built a system that carries an order from the venue's form, through the kitchen screen and the driver's route, to the monthly billing.

What we built
One system for four roles.
Venue panel
Ordering in two minutes, once a day, before a set deadline. Regular portions and special diets for every meal, the weekly menu and the order history.
Kitchen screen
Today's orders grouped by meal, with summed portions and a breakdown of diets. Changes show up live, without refreshing the page.
Driver route
Today's deliveries with addresses and a meal summary for each venue. The “on the way” and “delivered” statuses record the departure and delivery times.
Admin panel
Management of venues, menus and orders. A menu uploaded as a DOCX file is read by AI, and the shopping list is calculated from ingredient weights. Plus financial reports based on each venue's own price list and a dashboard with trends.

We bring order to everyday work, one day at a time.
People, data and decisions in one consistent rhythm
where nothing gets lost, nobody retypes anything
and everyone works on the current version of the truth.
Challenges and solutions
Every problem had its price. Every
solution has its effect.
Problem #1
Orders came in by phone and email, then
someone retyped them by hand. The kitchen
worked from a printout that went out of date
after the first correction, and a missing
order only surfaced during loading.
Solution #1
The order goes from the venue's form straight
to the kitchen screen and the driver's list.
The system watches the deadline, and for a
venue that forgets to order on a given day,
it carries the order over automatically
from the last working day.
Problem #2
A venue had to get through by phone in a
narrow time window. Every change of portions
or diet meant another call, and proof the
order had arrived was only someone's word.
Solution #2
The venue orders in two minutes, reports days
off by itself and sees its own billing. An AI
assistant answers in chat, and small corrections
go to a queue approved by the kitchen.
Problem #3
Closing the month for several dozen venues
took days of calculations, with different
diets and separate price agreements. Nobody
had data on trends, only impressions from
the last week.
Solution #3
The financial report is calculated from orders
already in the system, using each venue's own
price list. The dashboard shows trends, and
the logs answer who changed what.
Problem #4
Allergy information passed through several
hands before it reached the person serving
the meal. An elimination diet written on a
card is one mistake away from serious
consequences.
Solution #4
Each venue configures its own list of diets,
and the kitchen sees special portions as
separate items to tick off. No change in the
number of portions goes through without the
kitchen's confirmation.
Typography and colours
Inter
/Font Family
Inter is a modern sans-serif typeface designed with screens in mind.
Its minimalist, ornament-free letterforms give clean shapes and
high legibility at every size. Nine weights give full control
over the interface hierarchy.

Results
Designed to optimise
daily work.
The system serves dozens of venues every working day,
taking every order from the form to the
billing. The kitchen cooks on current data, and the office
got back the time that used to go on retyping numbers.
All meals the company served
in this period went through
one system.
Meals in under a quarter:
Every venue has its own
diets, price list and
order deadline, and all
of them work on one
system.

Lunch sets the kitchen's work
rhythm and decides the scale
of production every day.
